This page explains what information we collect, how we use it, who helps us handle it, how long we keep it, and the choices you have. If you have a question, please call us at (813) 544-7066.
1. Information we collect
Information you give us. When you fill out a form, book a meeting, or talk with us, we may collect:
- your name, phone number, email address, mailing address, city, state, and ZIP code
- your date of birth
- your choices about how we may contact you, including whether you checked the box to receive text messages
- information you choose to share about your Medicare situation, such as your eligibility, your current coverage, your doctors, and your prescriptions
Information collected when you visit our website. Like most websites, ours receives basic details such as your IP address, browser type, device type, the page that sent you to us, and the pages you visit. Some of this comes from cookies, which are explained in Section 7.
Age. By sending us a form, you confirm that you are at least 18 years old.
2. How we use your information
We use your information to:
- answer your questions and schedule meetings by phone or video
- prepare for and hold your Medicare review with a licensed agent
- help you with an application, if you ask us to
- send appointment reminders, service messages, and notices that a secure link is ready for you
- keep the records that Medicare rules and state insurance laws require
- protect against fraud and keep our systems working properly
- understand which of our ads and pages are helpful, as described in Section 7
We send marketing messages only if you have given us permission, and you can take that permission back at any time (see Section 9).
3. Who helps us handle your information
We use a small number of service providers to run our business. They may handle your information only to provide services to us, and only under written contracts.
- Convex stores our client records.
- Google Workspace provides our business email, calendar, and documents.
- Amazon Web Services (AWS), through Amazon Simple Email Service (Amazon SES), sends our automated emails, such as confirmations and reminders.
We have a Business Associate Agreement (BAA) with each of these three providers. A BAA is a contract that requires the provider to protect health information under federal privacy law (HIPAA).
- Cloudflare hosts our website. Cloudflare does not store client records.
- RingCentral carries our phone calls and sends our text messages.
When you ask us to help with an application, we share the information needed with the insurance company you choose and with government agencies as Medicare rules require. We may also share information when the law requires it, or to protect against fraud.
4. We do not sell or share your information
We do not sell your personal information. We do not share your personal information with other companies for their own marketing.
Your phone number and text message consent stay with us. We never share your mobile phone number or your consent to receive text messages with any third party for marketing or promotional purposes. Consent to receive texts is not shared with anyone for any purpose other than delivering our own messages to you.
5. How long we keep your information
We keep information as long as needed to serve you, or longer where the law requires, such as Medicare record rules (for example, 10 years for certain Medicare records).
When we no longer need information, we delete it or remove details that identify you.
6. How we protect your information
We use physical, technical, and administrative safeguards to protect your information. Only people and service providers who need your information to help you can see it. Our website uses HTTPS, which encrypts information while it travels between your device and our site. No method of storing or sending information is perfect, but we work to protect yours and review our safeguards regularly.
If there is ever a breach of your protected health information, we will let you know as the law requires.
7. Cookies and website measurement
We use Google Analytics and Google Ads to learn which pages and ads are helpful. They receive only click and conversion data: standard browser details such as IP address and device type, which pages were viewed, an ad click ID, a random reference number, and the fact that a meeting was booked, and when.
They never receive your form answers, your name, your contact details, or any health information. These measurement tools are separate from the Google services we use for email and documents, and they are not covered by the health privacy agreement described in Section 3. That is why we never send them health information. We do not use retargeting.
If your browser sends a Global Privacy Control signal, Google Analytics does not load. You can also block or delete cookies in your browser settings.
8. Your privacy rights
You may ask us to:
- give you a copy of the personal information we have about you
- correct information that is wrong or incomplete
- delete your information, unless the law requires us to keep it
- limit how we use or share certain information
- contact you in a different way or at a different address
- give you a list of certain disclosures we have made
- send you this policy on paper
Depending on where you live, your state may give you more privacy rights, such as the right to know, correct, or delete your information, or to opt out of certain uses. We honor these rights as your state's law requires. You may also name someone you trust to make a request for you.
To make a request, call (813) 544-7066 or email info@advisecareinsurance.com. We may need to confirm your identity first. We will answer within the time your state's law allows. If we cannot do what you ask, we will tell you why, and you may ask us to look at it again.
We will never treat you differently for using your privacy rights. If you think your privacy rights were not respected, you may tell us, or file a complaint with the U.S. Department of Health and Human Services.
9. How to take back your consent
You can stop texts, calls, or emails from us at any time, in any reasonable way. For example, you can:
- reply STOP to any text message from us
- tell us during a phone call
- call (813) 544-7066
- email info@advisecareinsurance.com
- write to us at 3702 W Spruce St #1004, Tampa, FL 33607
- use the unsubscribe link in any marketing email
We will honor your request within 10 business days, and usually sooner. Replying STOP stops all texts from us, not just one kind. After you opt out of texts, we may send one final text to confirm. Taking back your consent will not affect any Medicare plan you have. You do not have to agree to texts or calls to work with us. Consent is not a condition of purchase.
For more about our text messages, please see our SMS Terms.
